Two weeks ago, we installed a major and necessary software update to the SWG archive. Unfortunately (and to make a long story short) changes in the directory structure between the two software versions of the software meant that we had to set up redirects in order to make existing links work and keep URLs short, tidy, and in the format we have used since reopening the site in March 2021.

This proved to be a much trickier task than we anticipated. Today, Russandol and I put some fixes in place that we hope will fix 95% of the issues.

  • There should be no redirection errors, and you should not appear logged out when accessing older links.
  • Older links should work.
  • Links should like they always did: silmarillionwritersguild.org/something without a whole bunch of extra junk in the URL.

The only exception to this is links from between September 19 and October 2 that contain /silmarillionwritersguild/web as part of the URL. These links will not work. Take out the /silmarillionwritersguild/web bit and they'll work fine.

Please report anything on the site that isn't working for you and any redirection errors you receive. Send us an ask or email us at moderator@silmarillionwritersguild.org to report problems. There are a couple of known lingering issues to do with theming and notifications; all known site issues can be found here.

The site is back up and live! As is probably evident from the fact that this took FOUR DAYS (I'm not sure the site was down that long when we moved from eFiction to Drupal!), this was a labor-intensive upgrade for us. We updated our software from Drupal 8 to 9, which was itself an important change. However, in doing so, the directory structure changed, which meant that all old links would not work. We were not okay with that. So we attempted to redirect the old links to the new, which to be blunt about it, turned out to be a massive pain in the ass. At multiple points, we discussed restoring the D8 site and going back to the drawing board with redirects (which is now a four-letter word to Russa and me).

I think we are, at last, there. I will be fixing broken links and images in the days to come. If you run into a broken link or image (or anything else that is weird), please let me know in the comments here. (If you are on our Discord, I am keeping a running list in #town-hall.) If you get an error about "redirects to external URLs are not allowed," please clear your cache.

To make this whole situation even more interesting, our host has been promising for months that we are due a major upgrade, which they have decided to do tonight. So the site will go down again, briefly, sometime in the next day, and we may see even more odd behavior.

Of course, we want you to go back to using the site right away. But we also know we're going to run into problems in the days to come, so now might not be the best time to spend four hours archiving your epic novel with us. Just in case!

Finally, so much gratitude to Russandol, who has been researching and planning this upgrade for weeks and gave up most of her weekend to struggling through it. Again, please reach out to me with any questions and please report any issues in the comments.

This coming weekend, 16-18 September 2022, we will be doing some important upgrades to the SWG site software. This will require us to put the site into read-only mode for the weekend, and there may be times when we need to take the site offline entirely. We regret any inconvenience this may cause.

ETA: One more day, friends! We'll also be read-only/offline on September 19. We're close, we hope!

Introducing the Beyond the Silmarillion Archive

We are very excited to announce the official opening of the Beyond the Silmarillion section of our archive! Here, creators who are already posting with us can archive their non-Silmarillion fanworks based on Tolkien's books and adaptations, and absolutely anyone can read and view those fanworks.

Who is eligible and how does one obtain permissions?

The Beyond the Silmarillion section is open to creators who have committed to posting their work with us, which we define as five fanworks or 10,000 words of fanworks. When you reach one of these milestones, a moderator will grant "Beyond" permissions to your account, and you will be able to post in the new section.

Permissions are monitored and assigned manually, by a human (i.e., not automatically, by a computer script). If you meet the requirements above, please allow us at least twenty-four hours to assign your permissions. After that point, feel free to query.

More than 200 of you met the requirements for the new section right away and can begin posting to the new section now!

If you think you should have permissions and do not, please contact us.

How do I know if I have permissions? How do I post to the new section?

You can check if you have permissions by opening any of the Add New Fanwork forms under the My Account menu. If you see a checkbox for "Beyond the Silmarillion Fanwork" under the Title field, you have posting access for the new section.

To post to the new section, simply check off this box and complete the form as usual. All types of fanwork (art, audio, link collections, multimedia fanworks, playlists, series, videos, and all types of written fanwork) are allowed in the Beyond the Silmarillion section. More detail instructions, with illustrations, can be found in the Beyond the Silmarillion FAQ.

While we have populated the Character tagset with the major characters from The Hobbit and The Lord of the Rings, if you need a character or relationship that's not currently on the list, use the Moderator Request form as usual. Likewise, if you need a source that is not in the Source Text tagset, you can use this field to request it.

How will the new section impact reading on the site?

Beyond the Silmarillion is truly a separate section. We are still a Silmarillion fanworks archive; however, as more and more small Tolkien-specific archives close their doors, we know many of our members would like a place to archive all of their Tolkien fanworks outside of the large multifandom archives. In the recent past, we could point to a half-dozen generalist Tolkien archives where our members' work was welcome that didn't fit on our site's requirements. We can no longer do that and so feel it is an important need to meet for our creator base.

You can find the Beyond the Silmarillion section under the Fanworks menu. If you want all the fanworks, check out the Truly All Fanworks page (you can find a link on the All Fanworks page).

If you follow a creator or tag, and a Beyond fanwork is posted by that person or to that tag, you will receive a notification.

We will also include a section for Beyond the Silmarillion fanworks in our weekly newsletter.

We hope our readers/viewers and creators enjoy the new section of the site!

Video and Multimedia Fanworks Are Here!

We are excited to announce the final fanwork types are now available on our archive: video and multimedia!

If you'd like to add a video or multimedia fanwork, you can find these options under your My Account menu. If you need help adding them, see our video FAQ and multimedia FAQ.

What Exactly Is a Multimedia Fanwork?

Multimedia fanworks provide the means to combine two or more of the other fanwork types into a single fanwork, presented on a single page.

Did you do a ton of research for a story, and you'd like to present your link collection alongside the fic? Maybe there's an illustration of the story too? Do you have a video that goes with a meta piece, or a podcast discussing a work of art? (Or the playlist you listened to while making the art?) Or you are participating in a big bang and would like to post the artwork and novella together?

Multimedia fanworks allow you to archive fanworks that don't fit tidily into our existing fanwork types: artwork, audio, link collection, playlist, video, and writing. You can combine as many fanwork types together in whatever order you choose. The multimedia FAQ includes more information about the various ways this fanwork type can be used to present hard-to-archive fanworks on our site.

I'm excited to announce that the new section of the Silmarillion Writers' Guild site for non-Silmarillion Tolkien fanworks will be called Beyond the Silmarillion!

It was a close race and I want to thank everyone who voted and especially those of you who suggested names. Since we didn't collect names when gathering suggestions, if you are the person who suggested "Beyond the Silmarillion" and want to let me know so I can credit you for your winning name, send me an ask or email! (If you prefer to remain anonymous, that is of course fine too.)

Vote to Name the New Section of Our Site

We are in the process of opening a new section of our site for members who post Silmarillion fanworks with us. In this new section, active creators will be able to archive their non-Silmarillion Tolkien fanworks. You can learn more about this new section of the site here.

But our new section of the site needs a name! We have received a number of suggestions over the past week and voting is now open to choose what the new name will be.

Voting is only open to members who are registered on the SWG site so that we can make sure that we receive only one vote per person. If you're not a member but want to vote, you're welcome to register!

Voting will close on when the clock strikes midnight, UTC, at the end of Wednesday, July 20, so make sure you vote before then! We will announce the new section's name on July 21.

Name Our New Site Section

Back in December, we asked SWG members to choose a gift for the coming year: What features did they hope to see us add to the site? A popular choice was to allow SWG members who archive on our site the option of posting non-Silmarillion Tolkien fanworks with us as well, and we are preparing to begin work on this new section of our site!

However, we need a name. And this is where we need your help. We are looking for suggestions of names for the new section of our site. Anyone can make a suggestion (or more!) here.

When the clock strikes midnight at the end of July 13, 2022 (UTC time), we will stop accepting new suggestions, and SWG members will be able to begin voting on the new name the next day. (Note that while anyone can suggest names, only members will be able to vote to ensure we only receive one vote per person.)

I've also answered some basic questions about the new section here. If there's something you want to know that I haven't answered, the comments are open below or email our mod team at moderator@silmarillionwritersguild.org.

Note also that the SWG mods reserve the right to not include suggestions that do not fit the culture and mission of our site and community.

... and I am looking for feedback as I begin to build these new and final fanwork types for our archive.

Here's what I have so far:

Video is pretty self-explanatory. Video would have to be hosted elsewhere (YouTube or Vimeo) because the files are so large I'd worry about performance on our server. The usual fields would be available (character, relataionship, etc); I'm thinking we'd use the same genre list as for the Writing fanwork type, and if you select Nonfiction/Meta, it will open up the second field to select the topic.

Multimedia is the final fanwork type. This is for fanworks that combine multiple of the other types into a single fanwork. Examples would include:

- a story with an accompanying work of art
- a playlist that accompanies a story
- a podcast with a written transcript
- a work of meta with a matching link collection

This one has been a bit trickier because I thought I had it figured out and then discovered that the two modules I was using do not actually work together. Boooo.

The solution I've come up with is to post the pieces as separate fanworks. The creator would have a choice if they show up as individual fanworks as well or just in the multimedia piece (or a mix of both). For example, I have a story on the archive. I make a podfic of it and want to post them together, so I add the podfic and mark it so that it won't show up as a separate fanwork. I then add a Multimedia fanwork, add the story and the podfic to it, and the two display together as a single fanwork.

Multimedia fanworks can have unlimited individual fanworks as a part of them, and you can include more than two types. So you could go really wild: write a story, make a short film of the story, include just the audio, add a soundtrack as a playlist and an accompanying work of art, and add a link collection of the resources you used to research the piece.

Obviously, this one will be complex to build. At this point, if you're someone who would create Video or Multimedia fanworks, I'd love to hear what would work (or not) from my plan so far and what options you'd like to see that I haven't mentioned. Link Collections and Playlists Are Coming

This year, we hope to significantly expand what fanworks we are able to host on our site. We are preparing to build the next two fanwork types: playlists and link collections, and we'd love to hear from you about what features you'd like to see our site offer for these fanworks!

Playlists are collections of songs selected around a fannish theme. Currently, we are planning to offer the following fields when you post a playlist fanwork:

  • Link(s) to a completed playlist (i.e., set up on Spotify or YouTube)
  • Links to individual songs with a notes field for each song. The notes field allows unlimited text with formatting.
  • Audio genre selection; if you choose "Music" as your genre, you will be able to select a music genre as well.
  • Album cover art.

Links collections are exactly what they sound like! They can be used for myriad purposes—rec lists, collections of resources and references, collections of images and music for mood or inspiration—and will allow links within and outside the SWG. Currently, we are planning to offer the following fields when you post a link collection:

  • Link, link title, and link description fields. The link description field allows unlimited text with formatting.
  • Link collection genre selection (e.g., rec list, research, inspiration).

Both the playlists and link collections will have access to the fields available to all fanworks: title, co-creator, language, summary, fanwork notes, character, relationship, rating, warnings, challenge, and completion status.

SWG art section now openWe are so excited to announce that Silmarillion-based artwork and other visual fanworks can now be posted on the SWG! If you are an artist, we welcome you to archive your Silmarillion art with us. The SWG enjoys almost seventeen years of history as a supportive and welcoming space for writers of Tolkien-based fanfiction, and we look forward in the year to come to welcoming more creators of all types of fanwork into our community.

Our rebuilt archive has been up and running for about nine months now--uneventfully for the most part!--and we are looking to what features we would like to add next. One reason we switched software was so that we could more easily expand the kinds of fanworks we accept and other features our members might find useful.

If you are a member of the SWG archive, please let us know what new features you would like to see us focus on first by taking our brief survey.

Recently, our webhost made some upgrades behind the scenes. Unfortunately, these upgrades have created some issues with our software, eFiction, and several errors have been reported that we are in varying stages of working on. We are aware of (and working on) the following errors:

  • Some site functions (including replies to comments) return a "Not Acceptable!" error. We are waiting on our webhost to whitelist our domain so that this error is hopefully fixed. (This should be fixed. PLEASE let a mod know if you see this error.) ETA: Psych! It's back. It's like a horror movie killer: It won't stay dead. I've put in another support request with some language this time about this error not being something I'm willing to tolerate having to address every few weeks/months forevermore. We'll see what they do. ETA2: My support request/mild threat seems to have gotten the response I wanted, and the error is done again ... for now? Please report it if it comes back!
  • Comment and other email notifications are not being sent. The contact forms to PM authors, therefore, do not work either. Please note that this includes password resets, which are sent via email. Contact a mod if you need your password reset. We are investigating this issue. This issue should be fixed. Please reach out if you know that you are not receiving notifications that should have been sent.
  • The site sometimes posts duplicates of stories, comments, replies, and chapters. I believe this might be due to a slow response from the site and people clicking multiple times because they think the first didn't register. Please click only once; it will go through, I promise. I do know that the struck-out issue was happening, but duplicates post sometimes for reasons that aren't anyone's fault. If you need something deleted, feel free to reach out, and I will handle it for you.
  • Special characters were not displaying correctly. We managed a partial fix; currently, special characters do not display correctly if the story was added in HTML (versus rich-text/TinyMCE) mode. Switching TinyMCE on (under Account -> Preferences) and ticking the box under the story field to use the TinyMCE editor, then posting/reposting the story will fix this problem. If you need help from a mod fixing your stories, please let me know.

We rely on our members to report errors. We cannot fix what we do not know is wrong. If you are having a problem with the site, it is most likely the site, not you and not your system. Please report problems by reaching out to us at moderator@silmarillionwritersguild.org. We're also reachable over all of our social media, but email gets the fastest and most reliable response. Thank you to those of you who have reported problems so far.

We are aware of the problems above, but if you run into one that is preventing you from using the site as intended, please reach out. We will do our best to find a solution or a workaround from our end.

The larger takeaway from this, though, is that we need to move away from eFiction faster than our plan to do so next summer. We have been working on a test site with new software for some time now, and Dawn and Russandol will be intensifying their work on this in the weeks to come with the hope of transitioning the archive away from eFiction as soon as possible. We thank you all for your patience and regret the inconveniences caused by the latest upgrade.

I have just set up a feed on Dreamwidth that will allow subscribers to see updates to the SWG archive right on their DW Reading Page. Updates provide the title, author, and summary, with a link to the story, so you can still be selective over what you read/see.

Earlier this year, we asked for feedback on a survey about the SWG site. Our software is aging and we face the challenging decision of where to take the site next. Wherever we go, we want it to be useful to the authors and readers who use our site for sharing Silmarillion fan fiction.

But as I read through the suggestions for what we could do to make the site better, I kept bumping into wish-list items that the site already does. So in our December 2016 newsletter, I wrote an article called “10 Things You Wish the SWG Archive Could Do (That It Actually Does).” I’m going to reprint that article separately in an attempt to reach as many SWG users as possible because it's nice, if the site is capable of doing something you'd like it to do, that you know how! :)

So if you ever wished that the SWG archive would send you alert emails, let you make rec lists, allow you to copy from MS Word and keep your formatting, comment on Reference articles, generate story stats, and post images and podfic, read on!

Hi all,

I wanted to let you know that we have solved the issue for now, but are still investigating the issue that caused the previous bug. It should however no longer affect posting stories to the archive.

For those author's who have posted a story to the archive between the 13th of November 2014 and the 21st of November 2014: our apologies, but could you please check those stories and add the data the script did not process? It is information such as genre, characters ect. This time it will be added to the database, I double checked that.

If you have any questions or experience any other difficulties using the site, please let me or one of the other mods know. We always welcome such notifications and gladly want to help out.

Hi all,

we just wanted to give you a heads up as to why our archive & site is down at the moment. Our host has reported that they have issues regarding their data center's network connectivity and many sites hosted by them are down at the moment. They have a team of admins working on as we speak, so hopefully full service will be restored later this day.

Hi all,

Last night our host Bluehost was performing maintenance and apparently ran into a heap of troubles. The issue that arose is considered as a rare occurrence, but it did escalate since their network is experiencing issues and they haven't solved it as of yet. But they are working very hard on this; cancelling all leaves and calling in as many people as they can to get everything back up and running.

How does this affect us? Well… the SWG site is completely down and cannot be reached at the moment.

The site is back up, but please expect intermittent access and slowness until services are fully restored by our host.

Yeps, Mr Murphy strikes! No worries, I made a back-up before they performed their maintenance.

Since we don't know how long this will last, we have to wait for Bluehost letting us know when they have solved it. I am monitoring their twitter account as I type this. Once we know and the site is back up and service has returned to normal we will let you all know.

That's it for now and my apologies for the unexpected downtime.

I hope everything is soon back to normal and we can get our Silm fix :)

Hi, all,

The story archive on the SWG website is in need of a software update, so we will be taking the site down for a few hours tomorrow. Rhapsody will be doing the update and expects to begin at about 6:30 AM GMT. A practice run of the software update took about two hours, so we're hoping to have the site back up by 9:30 AM GMT. We'll keep the group posted if there are any significant changes to this.

Please note that this applies to the archive only. The main site (newsletter, special projects, references) will continue to be available. You will not be able to read stories on the archive or access your account there.
